Update: Office 365 – Shared mailboxes

Some users are reporting incomplete migration of generic mailboxes. We have identified what has caused this issue and are currently running another migration for generic mailboxes to resolve this which should be fully complete by tomorrow morning (Wednesday 18 January).

Users requiring assistance in setting up access for their colleagues to access these resources should follow the Share or Delegate Account Access instructions.

Update on Student GWmail Migration

We are currently running the very last few migration scripts and these should be finished overnight. Overall the migration of student mail from GroupWise to Office 365 has gone well and there has been a very low percentage (<0.5%)of migration failure.

We can run the migration tool again if your mail has not appeared in your new dmail mailbox – please log a call with ICS Service Desk – but please wait until after 9.00am on Monday when the final migration is due to complete.

Update: Switchover to Office 365

Staff have now had their mailboxes fully migrated from GroupWise to Office 365. We are aware that a few issues remain for some and want to assure you that we are continuing to resolve the following:
Proxy Access
- most generic resources have now had their inbox migrated and cabinets and folders will soon follow
- users who previously had permission to generic resources should now be able to access these. Shared access to another member of staff’s mailbox or calendar will need to be granted again
Distribution Lists
- distribution lists have now been migrated and appear to be working as normal.
Logging in
- some users have reported issues with logging in. If you find you cannot log in to dMail, please contact the ICS Service Desk to report this.
Missing mail, calendar, appointments, folders
- some users are missing items from their mailbox and calendars. We can run the migration toll again for your mailbox if required, please contact the ICS Service Desk.
Archives
- user archives will be migrated from Monday 16th January.
Students mailboxes
- students are now also using Office 365 to send and receive mail. Their GroupWise mailboxes are being migrated to Office 365 this week but you may still access old email at https://gwwebmail.dundee.ac.uk
Applicant mailboxes
- applicants are now also using Office 365 to send and receive mail. Their GroupWise mailboxes are not being migrated to Office 365 but you may still access old email at https://gwwebmail.dundee.ac.uk

GroupWise Mail moved to Office 365

As planned, on Friday 6 January 2012 at 5pm the University email service, dMail, changed from GroupWise to Microsoft Office 365 and GroupWise will no longer send or receive mail. Mail will now be sent to your Office 365 account.
During the weekend we will be completing the migration to Office 365 to be fully operational at the start of business on Monday 9th January. Student email will be migrated by 16th January in time for the start of SEmester 2 teaching.
OFFICE 365 WEB ACCESS
Your new Microsoft Office 365 account can be accessed online at http://webmail.dundee.ac.uk using your normal university username and password as before.
The preview address http://www.outlook.com/dundee.ac.uk will also still work.

During the transition period older emails can be accessed on GW at https://gwwebmail.dundee.ac.uk/

Note: This guide is for University contract BlackBerries only – users own contract devices connect using a different server

Blackberry Set Up Guide

Once we switchover to Office 365 a change is required to your BlackBerry to point the device to the Cloud BlackBerry Enterprise Server (BES). This cannot be done in advance of the switchover and regrettably will mean a short period of downtime. Users may reset their own devices following the steps in in this guide or request that this is done by ICS. For users in CLS or CMDN, please contact your local IT support.

SOE users can now access BlackBerry Desktop Manager from the desktop and you are strongly advised to backup your device before handing it in for reset.

Stop Press: Student email to be Migrated too!

We have concluded a deal with Cloud Technology Solutions to fully migrate all student and taught post graduate email during the week following the switchover – our intention is to have all student email fully migrated by the beginning of Semester 2 – more details to follow

dMail Switchover weekend starts Friday 5pm

On Friday 6th Jan at 5pm we will switch mail delivery from GroupWise and start sending mail to Office 365. From that time no mail will be received or sent within GroupWise and all mail will be sent and received in Office 365. During the weekend we will be finalising the migration of staff email and on Monday the switch should be complete.

 

How to set up your iPhone for Office365

A new guide has been prepared to demonstrate how easy it is to add your Office 365 account to your iPhone – if you want to fully sync your mail, contacts and calendar, set up your dundee.ac.uk email using the Exchange option by following this guide

If you already use the IMAP option to receive GroupWise mail please remember to turn this off after the switch.
