New Password Management Policy and Services – how will this affect you?

The University is changing the way passwords for IT systems (such as email, VLE and IT Suites) are managed, making passwords more secure and easier to change.

There are key things you must be aware of and do. This will help protect your information, the University’s data and reputation. Please see an example of how this can affect you personally by checking out the recent Apple Hacking scandal news.

Passwords must now:

  • Be at least 14 characters long
  • Not use a username, real name or a company name
  • Be significantly different from previous passwords
  • Password advice and tips

Password Management Portal
The University’s Password Management Portal has changed and has been replaced by two new services.

  • Password Registration Service: https://passwordregistration.dundee.ac.uk – similarly to online banking, you now have to register at least six memorable security questions and answers such as ‘What is your least favourite food?’. Once registered this will permit you to reset your own password independently and at any time.
  • Password Reset Service: https://passwordreset.dundee.ac.uk – you can reset your password by visiting this and you will be asked to provide some of the answers previously recorded on the Password Registration Service.

The Service Desk will continue to be available to reset your password if you are having difficulties or if you would like assistance with using these services.

We recommend that you change your password now or at your earliest convenience – y ou will have up to 365 days to do this from the point at which you last changed your password. Note: certain users will have to change their password by 5 November and we will contact you directly if you are affected.

New Password Management Policy and Services – how will this affect our users? For technical users

The University recently undertook an audit of its IT security and a number of recommendations are to be implemented over the coming months. The first key change is in relation to how we manage user passwords, making them more secure, and more accessible to change. This relates to passwords used to log on to University systems such as email, VLE, and IT Suites.

Password Policy
A revised Password Policy has been published on our website and this comes into the final implementation phase on Wednesday 5 November. The key changes for users relates to the format of passwords, or passphrase. Passphrases must now:

  • Be at least 14 characters long
  • Not use a username, real name or a company name
  • Be significantly different from previous passwords

We will publish guidance for users to help them set suitable passwords or passphrases. Users can still incorporate numbers, and symbols (except | : ~ €) as well as letters into their passphrases but this is not mandatory. We recommend that passphrases utilise at least 4 non related words eg imaginestarsbluevolcano.

Password Management Portal
To support this change the current Password Management Portal (https://mypassword.dundee.ac.uk) will be changed to align to the new password policy. The ‘mypassword’ portal will be replaced by two new services on Tuesday 23 September during the ‘at risk’ scheduled maintenance period. As IT analysts you can, however, go and try these new services now following the links below.

  • Password Registration Service: similarly to the old system and online banking, users now have to register at least six memorable security questions and answers such as ‘What is your least favourite food?’. Once registered this will permit a user to reset their own password independently.
  • Password Reset Service:  users will be able to reset their password by visiting this link and will be asked to provide some of the answers previously recorded on the Password Registration Service. On the Student Desktop users will be able to reset their password by clicking on the ‘forgot my password’ at the Desktop login screen – this functionality will be rolled out for the Staff Desktop later.
  • Also, an additional function to remind users to set their questions and answers will be released to the Student and Staff Desktops shortly.

The Service Desk will continue to reset users’ passwords, however, this system will provide the accessibility for users to do this themselves.

IMPORTANT – Issues with certain users

There are a number of users who have not changed their password in the last 12 months or have reset their password using the same password. These users must register their security questions and answers and must reset their password following the new policy by Wednesday 5 November. This means that users will be locked out of University systems if they are not responsive to this important change. We will be contacting those affected directly and will continue to provide targeted emails to those who have not yet changed prior to 5 November 2014.

UoD IT is updating the Central Learning & Teaching (CLT) Student Desktop for 2014 in time for the new academic session.

Key features of this year’s Student Desktop are:

  • The operating system will use Windows 7;
  • Login times are faster;
  • Internet Explorer is bang up to date with version 11;
  • We are responding to your needs and have added around 100 new applications to support you with your learning;
  • The wallpaper has been changed – so you’ll know you’re on the new Desktop; and,
  • The ‘Supportive Software’ folder has been renamed to ‘Learning Technology’ – it does what it says on the tin!

CLT Student Desktop 2014 for Service Desk and IT Analysts

UoD IT is updating the Central Learning & Teaching (CLT) Student Desktop for 2014.

Key features of this year’s Student Desktop are:

  • The operating system is now Windows 7 x 64 (64 bit);
  • Login times are faster;
  • The file storage has changed from Novell to Windows (see more about this later);
  • Internet Explorer 11 is the default web browser;
  • The instrastructure has been migrated to System Center Configuration Manager (SCCM) 2012 R2;
  • The associated Printing infrastructure has been migrated to a Microsoft environment;
  • There are over 300 applications now available with 1/3 being new and 20 being removed;
  • The wallpaper has been changed; and,
  • The ‘Supportive Software’ folder has been renamed to ‘Learning Technology’.

Email issue – users experiencing slowness using webmail

We are aware that some users are finding email very slow when accessing it using webmail.dundee.ac.uk or via the ‘OWA’ application on devices. Microsoft have advised that upgrading from IE 9 to 11 may resolve this issue.

This blog posts describes what we are doing to support users and how to remedy the issue in certain situations.

 

Students using PCs in central IT Suites (including the Library)
Staff using PCs in centrally managed teaching rooms

  • The Central Learning & Teaching (CLT) Desktop used in IT Suites and teaching rooms will be updated next week (w/b 1 September 2014) from IE 9 to IE 11 and will address any email performance issues

Students and staff using personal devices

  • For Windows devices we recommend you update your internet browser to IE 11.
  • For Mac devices we recommend you update your internet browser to Firefox 31.
  • Android and iOS devices are unaffected.

Staff using Managed Desktop PCs

  • This guidance applies to those staff members who do NOT use CODA.
  • We recommend that you download IE11 from ‘apps on demand’. This will involve you restarting your PC.
  • UoD IT will release IE11 as standard on all Managed Desktop devices in due course.

CODA users on Managed Desktop (PC)

  • UoD IT have tested the CODA web app which has highlighted that a particular function is not working as expected in IE11. CODA users are therefore advised to remain using IE9.
  • If you require to access webmail, as opposed to the Outlook client, we recommend that you download and use Chrome or Firefox from ‘apps on demand’. This will involve you restarting your PC.
  • UoD IT are continuing to work with the Finance team to resolve this issue and we will provide an update in due course.

Staff using non Managed Desktop PCs

Information on recommended email software can be found on Microsoft’s Office 365 webpages.
